Every department on the same record

Most dealership stacks are five tools taped together. Lot Strata is one system — a unit sold in desking leaves the lot in inventory, posts to accounting, and updates the consignment case without a sync job or a re-key.

Shared data model

Customers, units, deals, and documents live once — every module reads the same truth.

Database-per-tenant

Each dealership gets its own schema and subdomain. Your data never shares tables.

Per-rooftop entitlements

Eight modules toggle independently per location — history is preserved when one is off.

Evented core

State changes emit durable events — integrations and reporting subscribe instead of scraping.

Industries

Built for multi-vertical lots

One asset engine, vertical-specific identity. Each industry carries its own primary identifier and attributes — same workflows, correct paperwork.

Inventory

A lifecycle, not a spreadsheet row

Units move through an explicit state machine — on order, in transit, PDI and recon, frontline, deal pending, delivered or wholesaled out. Cost entries are append-only, so the number on the deal is the number accounting sees.

  • True vs. commissionable cost tracked per unit
  • Automatic stock numbers and lot location
  • Holds that release when deals fall through
  • Photos and documents attached to the unit record

CRM & Desking

From first inquiry to signed deal

Leads land in a shared pipeline with owners and follow-ups — no sticky notes. When a deal pencils, the desk works live units, trades, and F&I products against real inventory cost.

  • Lead intake, assignment, and follow-up timelines
  • Wishlists that match incoming inventory automatically
  • Deal worksheets with quotes, trades, and products
  • Deal pending state reserves the unit on the floor
Fixed Operations

Service that talks to parts

Repair orders carry the job, the technician, the department, and the parts pulled — all on one record, so the service lane and parts counter stop arguing about who has what.

  • Repair orders with technician and department assignment
  • Labor and parts consumption against real stock
  • Estimates with customer approval tracking
  • PDI and recon work visible to inventory status

Consignment

Owner to settlement, fully accounted

Consignment is where most DMSes hand you a spreadsheet. Lot Strata treats it as a first-class lifecycle — consigned units are never dealer-owned, and every dollar from intake to disbursement is on the record.

Owner record & terms

Capture the consignor, the unit, reserve or asking price, commission terms, and the agreement period. Every consignment starts with a signed agreement on file — no handshake deals.

  • Consignor identity and payout details
  • Asking price / reserve and term length
  • Commission rate or flat structure
  • Signed agreement attached as a document

Ownership, liens & payoff

Before the unit hits your lot, verify title, identify lienholders, and record payoff amounts. Lot Strata keeps owner, custody, and lienholder as distinct legal positions.

  • Title and ownership checks
  • Lienholder record with payoff amount
  • Custody accepted while ownership stays with the consignor
  • Verification trail preserved for audit

Intake & condition

Check the unit in with photos and a condition report. It enters inventory flagged as consigned — tracked like stock, never booked as dealer-owned.

  • Intake inspection with photo record
  • Unit joins the lot under consignment status
  • Location and recon tracked like owned units
  • Clear consigned-vs-owned separation everywhere

Market, desk, close

Consigned units flow through the same CRM, desking, and F&I pipeline as owned inventory — the system keeps the consignment flag intact through the deal.

  • Listed alongside owned inventory
  • Desking, quotes, and F&I as usual
  • Offer → sale tracked on the consignment case

Payoff, commission & approval

On sale, Lot Strata computes settlement: sale price less lien payoff, agreed commission, and fees. Large settlements can require two approvals before funds move.

  • Lien payoff applied first
  • Commission and fees itemized
  • Dual approval on high-value settlements
  • Every figure auditable

Eight modules. Toggle what you run.

Every rooftop enables the modules it pays for — off means hidden, never deleted. Turn one back on and the history is still there.

Rooftops that report up

Groups run many stores without sharing tables. Each dealership is its own tenant — isolated database, own subdomain, own entitlements — while staff administration stays central.

Security

Isolation by architecture, not by promise

Database-per-tenant

Each dealership's records live in a dedicated schema — no shared tables, no cross-tenant queries.

Scoped access

Role-based permissions inside each tenant; staff support access is time-boxed, signed, and auditable.

Durable audit

State changes record through an outbox event stream — what happened, when, and by whom.

Managed domains

Subdomains, DNS, and TLS certificates are provisioned and monitored as part of the platform.

FAQ

Questions dealers ask

Is my dealership's data isolated from other dealers?

Yes — every tenant runs on its own database schema with its own subdomain. There are no shared tables between dealers.

Can we run some modules but not others?

Yes. All eight modules exist per tenant and are toggled per rooftop. Disabling a module hides it — data is never deleted, and re-enabling restores full history.

Which vehicle types are supported?

RV, marine, trailers, powersports, buses, emergency vehicles, golf carts/LSVs, and cars & trucks — each with the correct primary identifier (VIN, HIN, serial).

How does consignment work?

As a managed lifecycle: agreement, ownership/lien verification, intake custody, sale, settlement math with commission and payoffs, approval, and disbursement — audited end to end. See the consignment walkthrough above.

Can staff help inside our portal?

Support access is a signed, 8-hour login minted by platform staff and visible to you — it can't be redeemed outside an authorized staff session.

How do we get access?

Use the request-access form — tell us your dealership and verticals and we'll provision a portal on its own subdomain.
